Warum Trello statt nur PDF?

Die meisten Scanner-Apps hören beim PDF auf: Sie erhalten eine Datei, die irgendwo im Speicher liegt. Wer in Trello arbeitet, braucht aber keine weitere Datei — er braucht eine Aufgabe. Scandora schlägt genau diese Brücke: Aus dem gescannten Dokument wird eine Trello-Karte, die schon weiß, wie sie heißt, was zu tun ist und bis wann. Aus einem Beleg wird eine Handlung, nicht nur ein Bild.

Trello mit Scandora verbinden

Die Verbindung läuft über Ihre eigenen Trello-Zugangsdaten. Die Einrichtung führt Sie in wenigen Schritten durch:

  1. API-Schlüssel und Token eingeben. In den Trello-Einstellungen von Scandora hinterlegen Sie Ihren Trello-API-Schlüssel und ein Token. Scandora prüft die Verbindung (über members/me) und zeigt Ihren Trello-Namen zur Bestätigung an — so wissen Sie, dass die Zugangsdaten stimmen.
  2. Kontotyp wählen. Sie geben an, ob Ihr Trello-Konto kostenlos oder Premium ist. Das bestimmt die maximale Anhanggröße und ob einzelne Checklistenpunkte ein eigenes Fälligkeitsdatum tragen dürfen.
  3. Board wählen oder anlegen. Scandora lädt Ihre offenen Boards; Sie wählen eines aus oder legen direkt in der App ein neues an.
  4. Liste wählen oder anlegen. Zum Schluss wählen Sie die Liste, in der neue Karten landen sollen (oder erstellen eine neue). Diese Liste ist das Ziel für alle künftigen Scans.
  5. KI-Funktionen aktivieren (optional). „Fälligkeitsdatum extrahieren“ und „Aufgaben vorschlagen“ schalten Sie separat frei. Beide setzen eine verbundene KI voraus; ohne KI-Verbindung bleiben die Schalter gesperrt.

Vom Scan zur Karte — die Schritte

  1. Dokument scannen. Fotografieren Sie es mit der Handykamera oder ziehen Sie es über einen Netzwerkscanner per eSCL/AirScan (z. B. Brother oder Epson) ein. Die automatische Kantenerkennung hält jede Seite sauber.
  2. Die verwaltete KI liest das Dokument. Scandora erkennt einen Titelvorschlag, passende Labels, ein mögliches Fälligkeitsdatum und Aufgaben-Vorschläge. Nichts wird geraten — jede Angabe bleibt vollständig editierbar.
  3. Prüfen und anpassen. Sie sehen die vorgeschlagenen Werte und können sie ändern, bevor daraus eine Karte wird.
  4. In die gewählte Liste senden. Scandora erstellt die Karte in Ihrer festgelegten Trello-Liste und hängt das gescannte PDF direkt an die Karte an.
  5. Fertig zum Arbeiten. Die Karte trägt Titel, PDF-Anhang, die erkannten Labels, — falls aktiviert — ein Fälligkeitsdatum und eine Checkliste namens Tasks mit den vorgeschlagenen Aufgaben als Prüfpunkte.

Was genau auf der Karte landet

Jedes Element der Karte hat eine nachvollziehbare Herkunft — Scandora erfindet keine Felder:

Free- und Premium-Trello, ehrlicher Umfang

Scandora verhält sich passend zu Ihrem Trello-Konto. Bei einem kostenlosen Konto gilt eine kleinere maximale Anhanggröße, und Checklistenpunkte erhalten kein einzelnes Fälligkeitsdatum. Bei einem Premium-Konto ist die Anhanggröße höher und einzelne Prüfpunkte dürfen eigene Fälligkeiten tragen. Ist ein PDF zu groß für das jeweilige Limit, meldet Scandora das offen, statt die Karte stillschweigend unvollständig anzulegen.

Die KI-gestützte Extraktion beschleunigt die Erfassung, ersetzt aber nicht Ihr Urteil: Titel, Labels, Fälligkeitsdatum und Aufgaben bleiben bis zuletzt bearbeitbar, und die Karte entsteht so, wie Sie sie bestätigen.

Wohin Ihre Dokumente gehen

Die Karte und der PDF-Anhang werden mit Ihren eigenen Trello-Zugangsdaten direkt in Ihrem Trello-Arbeitsbereich erstellt. Ihr Dokument geht also dorthin, wo Sie ohnehin arbeiten — in Ihr eigenes Trello-Konto. Scandora ist für datensparsames, DSGVO-freundliches Arbeiten ausgelegt.

Brauche ich einen kostenpflichtigen Trello-Tarif?

Nein. Die Integration funktioniert mit einem kostenlosen Trello-Konto. Bei einem Premium-Konto sind größere Anhänge möglich und einzelne Checklistenpunkte können ein eigenes Fälligkeitsdatum tragen.

Setzt die KI die Werte automatisch, ohne dass ich sie sehe?

Nein. Titel, Labels, Fälligkeitsdatum und Aufgaben sind Vorschläge und bleiben bearbeitbar, bevor die Karte erstellt wird.

Was passiert mit Labels, die es auf meinem Board noch nicht gibt?

Vorhandene Labels werden anhand des Namens zugeordnet. Fehlende Labels legt Scandora mit einer Farbe neu auf dem Board an und fügt sie der Karte hinzu.

Wird das gescannte PDF an die Karte gehängt?

Ja. Das Dokument wird als Anhang der neu erstellten Karte hochgeladen — direkt in Ihr eigenes Trello-Konto.

Why Trello, not just a PDF?

Most scanner apps stop at the PDF: you get a file that sits somewhere in storage. But if you live in Trello, you don't need another file — you need a task. Scandora bridges exactly that gap: a scanned document becomes a Trello card that already knows what it's called, what needs doing and by when. A receipt becomes an action, not just an image.

Connecting Trello to Scandora

The connection uses your own Trello credentials. Setup walks you through a few steps:

  1. Enter your API key and token. In Scandora's Trello settings you provide your Trello API key and a token. Scandora tests the connection (via members/me) and shows your Trello name for confirmation — so you know the credentials are valid.
  2. Pick your account type. You tell Scandora whether your Trello account is free or premium. That sets the maximum attachment size and whether individual checklist items may carry their own due date.
  3. Choose or create a board. Scandora loads your open boards; you pick one or create a new one straight from the app.
  4. Choose or create a list. Finally you choose the list where new cards should land (or create a new one). This list is the target for every future scan.
  5. Enable AI features (optional). “Extract due date” and “Suggest to-dos” are enabled separately. Both require a connected AI; without an AI connection those toggles stay locked.

From scan to card — the steps

  1. Scan the document. Capture it with your phone camera or pull it in over a network scanner via eSCL/AirScan (such as Brother or Epson). Automatic edge detection keeps every page clean.
  2. Managed AI reads it. Scandora recognises a suggested title, matching labels, a possible due date and suggested action items. Nothing is guessed — every field stays fully editable.
  3. Review and adjust. You see the suggested values and can change them before they become a card.
  4. Send it to your chosen list. Scandora creates the card in your configured Trello list and attaches the scanned PDF directly to the card.
  5. Ready to work. The card carries a title, the PDF attachment, the detected labels, — if enabled — a due date, and a checklist named Tasks with the suggested action items as check items.

What exactly ends up on the card

Every element of the card has a traceable origin — Scandora does not invent fields:

Free and premium Trello, honest scope

Scandora adapts to your Trello account. On a free account a smaller maximum attachment size applies, and checklist items don't get an individual due date. On a premium account the attachment limit is higher and individual check items may carry their own due dates. If a PDF is too large for the applicable limit, Scandora tells you openly instead of silently creating an incomplete card.

AI-assisted extraction speeds up capture but doesn't replace your judgement: title, labels, due date and action items stay editable until the end, and the card is created exactly as you confirm it.

Where your documents go

The card and the PDF attachment are created with your own Trello credentials, directly in your Trello workspace. Your document goes where you already work — into your own Trello account. Scandora is designed for data-minimal, GDPR-friendly working.

FAQ

Do I need a paid Trello plan?

No. The integration works with a free Trello account. On a premium account larger attachments are possible and individual checklist items can carry their own due date.

Does the AI set the values automatically without me seeing them?

No. The title, labels, due date and action items are suggestions and stay editable before the card is created.

What happens to labels that don't exist on my board yet?

Existing labels are matched by name. Missing labels are created with a colour on the board and added to the card.

Is the scanned PDF attached to the card?

Yes. The document is uploaded as an attachment on the newly created card — directly into your own Trello account.

What is the checklist on the card called?

Tasks. It holds one check item per suggested action item, provided “Suggest to-dos” is enabled.
